What information we collect
We only collect what we need to run the club:
- Free checklist sign-ups: your email address and, if you give it, your first name.
- Members: your name, email address, business name, the type of premises you manage, your membership tier, and when you joined.
- Payments: a record of what you paid and when. Membership payments are taken by Skool, which runs our members’ area. Your card details are handled by Skool and its payment processor. We never see or store your full card number.
- Etsy purchases: when you buy a workbook from our Etsy shop, Etsy shares your name, Etsy username, email address and order details with us. Etsy takes your payment; we never see your card details.
- Club activity: questions, posts and comments you share in the members’ community or live Q&As, and any documents you send us for a fire risk assessment review (Business Plus members).
- Messages: anything you send us by email or phone.
- Website use: basic technical information such as your device type and the pages you visit, collected by our website and membership platforms.
Please don’t share anyone else’s personal details, or sensitive information such as health details, in the community or in documents you send us, unless we have asked for it.
How we use it, and why we are allowed to
UK data protection law says we must have a lawful basis for each use of your information.
| What we do | Lawful basis |
|---|---|

| Take payments, renew your membership and send receipts | Contract |
| Deliver your Etsy order and answer questions about it | Contract |
| Carry out fire risk assessment reviews and one-to-one calls for Business Plus members | Contract |
| Send you the free checklist and monthly fire safety tips | Consent: you can unsubscribe at any time |
| Send members service emails, such as Q&A dates and law updates | Contract and legitimate interests |
| Keep financial records for tax and accounting | Legal obligation |
| Keep the club secure and improve our content | Legitimate interests, balanced against your rights |
We do not sell your information, and we do not use it for automated decisions about you.
Who we share it with
We share your information only with trusted providers who help us run the club, and only as much as they need:
- Skool: hosts the members’ area, community and live Q&As, and takes membership payments.
- Etsy: runs our online shop for workbooks and takes payment for them. Etsy’s own privacy policy covers your Etsy account.
- MailerLite: sends the free checklist and monthly emails.
- Vercel: hosts our website.
- IONOS: provides our email and our domain name.
- Our accountant, and HMRC, where needed for tax and accounting.
We may also share information if the law requires it, for example with the police or a regulator.
Some of these providers store data outside the UK, including in the United States. Where they do, they use legal safeguards approved under UK law, such as the UK Extension to the EU–US Data Privacy Framework or UK-approved contract terms, to protect your information.
